1. Who we are
The Digital Economics Society (DES) operates the website digitaleconomicssociety.org. This policy explains what personal data we collect, why, and your rights over it.

2. What we collect
We only collect the information you actively provide, plus minimal technical data required to run the site:
- Contact & applications — When you fill in an application (Academy, Fellowship, Award Nomination) or contact form, we store the fields you submit (name, email, affiliation, motivation, etc.).
- Newsletter — When you subscribe, we store your email address, the source of the signup, an IP address and user-agent for anti-abuse purposes.
- Technical logs — Standard web-server logs (IP, timestamp, requested URL) kept for security and diagnostics for up to 30 days.
- Cookies — We use a small number of strictly necessary cookies (session, CSRF protection, light/dark theme preference). No third-party advertising or tracking cookies.
3. Why we collect it
- To process and follow up on your application, nomination or contact request.
- To send you the DES newsletter (only if you subscribed).
- To keep the site available, secure and free of abuse.
- To produce aggregated, anonymised statistics about how the site is used.
We never sell your data. We never use it for third-party advertising.
4. How long we keep it
- Application data (Academy / Fellowship / Awards) — kept as long as your candidacy is active, then archived for up to 3 years for programme-history reasons.
- Newsletter subscribers — kept until you unsubscribe. One click in the unsubscribe link removes you permanently.
- Server logs — 30 days.
5. Who has access
Personal data submitted through the site is accessible only to DES staff and to the reviewers designated for a given programme cycle. We do not disclose personal data to third parties without your consent, except when required by law.
Data is stored on servers managed by our hosting provider inside the European Union. Sub-processors are limited to essential infrastructure services (hosting, email delivery, backup).
6. Your rights
Under the GDPR and similar frameworks, you can request at any time to:
- Access the personal data we hold about you.
- Correct or update it.
- Ask for its deletion (right to be forgotten).
- Object to or restrict its processing.
- Receive a copy in a portable format.
Send any such request to contact@digitaleconomicssociety.org. We reply within one month.
7. Security
The site is served over HTTPS. Passwords are hashed. Forms are protected by nonces, rate limiting and honeypots. We follow standard hardening practices for the WordPress platform underpinning the site.
8. Changes to this policy
We may update this page from time to time. When we do, we update the “Last updated” date at the top. Material changes will be announced on the site.
